CANCELLATION AND REFUND POLICY

Activity/Camp Cancellation

  1. • When an activity is cancelled by Cary PRCR fees are 100% refundable.
  2. • Cancellations can be made directly online through RecTrac as long as it meets the 7-day or 14-day policy for that Activity. For exception requests, email 311
  3. • Any participant wishing to withdraw from an activity must do so at least 7 days prior to the scheduled start date or the first scheduled league game.
  4. • ALL Summer Camps require requests to be at least 14 days prior to the scheduled start.
  5. • Withdrawal and cancellation requests after the 7-day or 14-day notice period will be granted but no refund will be given - with the exception of approved medical or hardship cases. Medical and hardship cases are considered on a case-by-case basis and may require additional documentation. In the instances of lost resources by Cary by granting a late withdrawal, a cancellation fee may be charged.
  6. • Non-attendance or non-participation in an activity does not entitle the patron to a refund/credit.

Rental Cancellation

  1. • Cary PRCR reserves the right to make cancellations at any time. Cancellation notices will be issued as far in advance as possible. When a rental is cancelled by Cary PRCR fees are 100% refundable.
  2. • All requests for any changes to your reservation (transfer of location, date or time), including cancellations, must be made in writing via email to 311.
  3. • Any participant wishing to cancel a rental must do so at least 30 days prior to the scheduled start of the rental.
  4. • If the rental cancellation request is received less than 30 days prior, a full refund minus the deposit will be granted.
  5. • No cancellations will be accepted less than 7 days prior to a scheduled rental and will be liable for payment of rental fees and all other charges in full.
  6. • Outdoor facility usage cancelled due to inclement weather may be rescheduled pending space availability. All requests for any changes to your reservation due to inclement weather must be received within 7 days of the original reservation date.

Ballfields and Sand Volleyball Rental Cancellation

  1. • Ballfields: Ballfield reservations must be canceled at least 5 business days prior to the reservation date to be eligible for a refund or credit.
  2. • Sand Volleyball Courts: Requests to change/cancel reservations must be submitted 3 business days in advance

Specialty Spaces and Theaters

**Refer to your rental contact agreement for cancellation policy on the rental space.

Membership & Passes Cancellation

  1. • Cancellations will not be granted except for medical or hardship cases.
  2. • Medical and hardship cases are considered on a case-by-case basis and may require additional documentation.

Tickets and Merchandise

  1. • All sales are final.

Refunds/Credits

  1. • Please allow up to 2 weeks for your refund to be processed.
  2. • Payments made by credit card will be refunded to the original method of payment.
  3. • Payments made by cash or check will be refunded as a check.
  4. • If you wish to leave your credit on your account, the credit will be valid for one (1) year. By leaving the credit on the account the participant agrees that credits remaining inactive after one (1) year will be donated to the Play it Forward PRCR Scholarship Fund, without further notification.
